The DocVault module is a secure document versioning system that creates an online repository of your files.  With DocVault you will be able to create a document library where multiple users can work on files in a collaborative effort.

You can upload documents to your DocVault and separate them into categories for easy sorting.  Once uploaded, the file will show the filename, status of the file, category it belongs to, who submitted the file, number of previous versions and options for viewing the file.  Files can be sorted numerous ways to allow your users to easily find the file they are looking for.

Each file can be assigned specific security roles to limit user access to that individual file.  For example, you could allow your project manager full access to a project schedule to modify dates on tasks.  At the same time, you can allow the employees working on the project access to view the file only.  By using security based roles you can ensure each file is only viewable and/or editable by the correct users.

To make revisions to a file, the user will check out the document.  During this time, other users will not be able to check out the document for revisions until the current user checks it back in.  However, while the document is checked out for revisions, users will still be able to view the original file.

Once a document has been modified, the previous version of the file will be archived.  This will ensure that you never lose any files or information you need by uploading the wrong version of a file.  To access a previous version of a file, simply click on the “Versions” link and you will see a list of all previous versions.  You can then select the desired file and download it to your computer.

DocVault has greatly simplified version control and access for your files.  By using DocVault you will be able to create a repository of all your files and allow your users to collaborate on documents while adhering to document versioning in order to avoid duplicating efforts.
